Privacy Policy

This Privacy Policy explains how Levante, Inc. (“Levante”, “we”, “us”, or “our”) collects, uses, discloses, stores, and protects personal information through withlevante.com, our accounting services, and related communications.

Levante is an Ontario corporation providing AI-native bookkeeping, accounting, GST/HST, and corporate tax services to businesses and self-employed professionals.

1. Scope

This Privacy Policy applies to personal information collected through:

  • withlevante.com and related websites;
  • client onboarding and service delivery;
  • bookkeeping, accounting, GST/HST, and corporate tax engagements;
  • connected accounting, banking, payroll, invoicing, and document systems;
  • meetings, emails, support requests, and other communications;
  • billing, scheduling, and account management; and
  • applications, forms, and other services operated by Levante.

Our services are intended for business and commercial use. We do not provide personal income tax services through the standard Levante subscription.

2. Personal information we collect

The information we collect depends on how you interact with Levante and which services you use.

Contact and identity information

This may include:

  • your name;
  • email address;
  • telephone number;
  • job title;
  • business address;
  • identity-verification information; and
  • information about business owners, directors, officers, employees, contractors, or authorized representatives.

Business information

This may include:

  • legal and operating business names;
  • incorporation and registration information;
  • business numbers and tax account numbers;
  • ownership and organizational information;
  • business activities, locations, and reporting periods; and
  • information about your accounting practices, software, and internal processes.

Financial and accounting information

This may include:

  • bank and credit card transactions;
  • invoices, bills, receipts, and expense records;
  • general ledger and bookkeeping information;
  • accounts payable and accounts receivable records;
  • payroll and contractor information;
  • financial statements and working papers;
  • loan, financing, and shareholder transaction information;
  • tax balances, remittances, elections, and filings; and
  • other records required to deliver the services.

Tax and government information

This may include:

  • Canada Revenue Agency account information;
  • GST/HST and corporate income tax information;
  • tax returns, notices of assessment, correspondence, and supporting records;
  • authorization forms and representative access information; and
  • identification numbers required for tax or regulatory purposes.

Account and integration information

Where you authorize an integration, we may collect:

  • access tokens;
  • account identifiers;
  • connection status;
  • imported records; and
  • information received from accounting platforms, financial institutions, payroll providers, payment services, document systems, and other connected services.

Where possible, Levante uses secure tokens and delegated access instead of collecting or storing your passwords.

Communications

We may collect:

  • emails and messages;
  • meeting notes;
  • support requests;
  • instructions, approvals, and feedback;
  • call or meeting recordings where notice and consent are provided; and
  • records of decisions and client communications required for professional or audit-trail purposes.

Website and technical information

We may collect:

  • IP address;
  • browser and device information;
  • pages visited;
  • referral source;
  • cookie and analytics identifiers;
  • approximate location derived from IP address; and
  • information about how visitors use the website.

Payment information

Payments may be processed by third-party payment providers. Levante may receive transaction details, billing status, and limited payment information but may not directly store complete payment-card details.

3. How we collect information

We may collect information:

  • directly from you;
  • from your employees, contractors, shareholders, representatives, or advisors;
  • through accounts and platforms you authorize us to connect;
  • from financial institutions and service providers acting on your instructions;
  • from the CRA and other government bodies where you authorize access;
  • from publicly available business records; and
  • automatically through website technologies.

You are responsible for ensuring that you have the authority to provide Levante with personal information relating to employees, customers, contractors, shareholders, and other individuals.

4. How we use information

We use information to:

  • evaluate whether Levante is suitable for your business;
  • establish and manage the client relationship;
  • verify identity, authority, and business information;
  • connect and maintain authorized accounts and integrations;
  • perform bookkeeping, reconciliations, accounting, GST/HST, and corporate tax work;
  • prepare and support tax returns, filings, remittances, elections, and correspondence;
  • identify missing, inconsistent, or unusual information;
  • request clarification where necessary;
  • prepare reports, summaries, workpapers, and review materials;
  • obtain client instructions and filing approvals;
  • communicate with you and provide support;
  • process payments and administer subscriptions;
  • maintain security, prevent fraud, and investigate misuse;
  • comply with legal, regulatory, tax, and professional obligations;
  • maintain records and audit trails;
  • improve Levante’s services, workflows, and systems;
  • send service-related communications; and
  • send marketing communications where permitted by law.

We will not use personal information for a materially different purpose without obtaining consent where required.

5. How Levante uses artificial intelligence

Levante is an AI-native accounting service. We use artificial intelligence and automated systems to help perform repetitive, document-heavy, and rules-based work.

AI systems may help us:

  • extract information from invoices and receipts;
  • categorize and match transactions;
  • identify missing records;
  • detect inconsistencies and potential exceptions;
  • prepare reconciliation and review queues;
  • draft clarification questions;
  • summarize financial information;
  • prepare workpapers and supporting documentation;
  • flag transactions requiring professional review; and
  • improve the speed and consistency of service delivery.

Levante may use AI services provided by OpenAI, Anthropic, Cohere, and other carefully selected providers.

We do not rely solely on AI to make final professional judgment calls, approve material accounting treatments, or authorize corporate tax filings. Human review is applied at the points where expertise, quality, professional judgment, or risk requires it.

Unless you expressly agree otherwise:

  • Levante will not use identifiable Client Data to train a general-purpose AI model;
  • Levante will not authorize its AI providers to use Client Data to train their general-purpose models;
  • we will use business or API services and available privacy settings intended to restrict provider training; and
  • AI providers may process information only to provide services to Levante and for related security, abuse-prevention, and legal-compliance purposes under their applicable business terms.

We may use aggregated or de-identified information to evaluate and improve our systems, provided the information cannot reasonably be used to identify you or another individual.

6. Consent

We collect, use, and disclose personal information with consent or as otherwise permitted or required by law.

Consent may be:

  • expressly provided in writing or electronically;
  • provided through an engagement agreement, authorization, or account connection;
  • implied by your actions and the nature of the business relationship; or
  • provided by an authorized representative.

You may withdraw consent to optional uses of information by contacting us. Withdrawal may not affect processing already completed and may prevent Levante from continuing to provide some or all services.

7. When we disclose information

We may disclose information to:

Accounting and tax professionals

We may share information with accountants, CPAs, tax preparers, reviewers, contractors, affiliates, or professional firms involved in delivering or reviewing the services.

Where a regulated service must be provided through a particular professional or legal entity, relevant information may be transferred to that professional or entity.

Technology and service providers

We may use providers for:

  • AI processing;
  • cloud hosting and storage;
  • accounting and tax software;
  • bank and financial-data connections;
  • document management;
  • email and communication;
  • scheduling;
  • electronic signatures;
  • payment processing;
  • analytics;
  • cybersecurity; and
  • customer support.

These providers may process information only as needed to provide their services to Levante, subject to applicable contractual and legal requirements.

Government and regulatory bodies

With your authorization or where permitted or required by law, we may disclose information to:

  • the Canada Revenue Agency;
  • provincial or federal government bodies;
  • courts, law enforcement, or regulators; and
  • professional regulatory organizations.

Professional advisors

We may disclose information to lawyers, insurers, auditors, consultants, and other professional advisors where reasonably necessary.

Business transactions

Information may be disclosed as part of a proposed or completed financing, investment, reorganization, merger, acquisition, or sale of all or part of Levante, subject to appropriate confidentiality protections.

Legal and safety reasons

We may disclose information where reasonably necessary to:

  • comply with law, legal process, or regulatory obligations;
  • enforce agreements;
  • investigate fraud, security incidents, or misuse;
  • protect Levante, our clients, or others; or
  • establish, exercise, or defend legal claims.

Levante does not sell personal information.

8. Processing outside Canada

Levante and its service providers may store or process information in Canada and the United States.

When information is processed outside Canada, it may be subject to the laws of the jurisdiction where it is processed and may be accessible to courts, law enforcement, national-security authorities, or regulators in that jurisdiction.

Levante remains responsible for personal information under its control and uses contractual, technical, and organizational safeguards appropriate to the sensitivity of the information.

9. Information security

Levante uses administrative, technical, and physical safeguards designed to protect information against unauthorized access, collection, use, disclosure, alteration, loss, or destruction.

Safeguards may include:

  • access controls and least-privilege permissions;
  • multi-factor authentication;
  • encryption in transit and, where appropriate, at rest;
  • secure cloud infrastructure;
  • logging and monitoring;
  • vendor security reviews;
  • confidentiality obligations;
  • incident-response procedures; and
  • employee and contractor security requirements.

No system is completely secure. Levante cannot guarantee that unauthorized access, cyberattacks, technical failures, or other incidents will never occur.

If a breach involving personal information creates a real risk of significant harm, Levante will provide legally required notifications and reports.

10. Retention and deletion

Levante retains information only as long as reasonably necessary to:

  • provide the services;
  • maintain accurate accounting and tax records;
  • comply with tax, professional, contractual, and legal requirements;
  • resolve disputes;
  • enforce agreements; and
  • maintain security and audit trails.

Accounting and tax records will generally be retained for at least six years from the end of the relevant tax year, or longer where required by law, professional obligations, an ongoing objection or proceeding, or written direction from a government authority.

Other information may be retained for shorter or longer periods depending on its purpose and sensitivity.

When information is no longer required, Levante will securely delete, destroy, or de-identify it, subject to technical limitations such as backup-retention cycles.

11. Accuracy

We rely on clients to provide complete, current, and accurate information.

You may request correction of personal information that you believe is inaccurate or incomplete. We may require reasonable verification before making a correction.

12. Access and privacy rights

Subject to applicable legal exceptions, you may request:

  • confirmation of whether Levante holds personal information about you;
  • access to that personal information;
  • information about how it has been used or disclosed;
  • correction of inaccurate information; or
  • withdrawal of consent to optional processing.

We may need to verify your identity before responding.

In some circumstances, Levante may be unable to provide access, including where disclosure would reveal another person’s information, privileged information, confidential commercial information, or information that cannot legally be disclosed.

13. Cookies and analytics

Levante may use cookies and similar technologies to:

  • operate and secure the website;
  • remember preferences;
  • understand website performance;
  • measure traffic and conversions; and
  • improve the website and service.

You can adjust browser settings to reject or delete cookies. Some website features may not work properly without essential cookies.

Where required, we will request consent before using non-essential cookies.

14. Communications and marketing

Levante may send communications relating to:

  • onboarding;
  • service delivery;
  • missing information;
  • deadlines;
  • billing;
  • security;
  • changes to the services or agreements; and
  • other aspects of the client relationship.

We may send promotional communications where you have consented or where otherwise permitted by law. Marketing messages will include an unsubscribe method where required.

Unsubscribing from marketing does not prevent us from sending operational or legally required communications.

15. Third-party websites and services

The website and services may link to or integrate with third-party services.

Levante is not responsible for the independent privacy practices of third parties. You should review their privacy policies before providing information directly to them.

16. Minors

Levante’s services are intended for adults acting for business purposes. We do not knowingly collect personal information directly from children.

17. Changes to this Privacy Policy

We may update this Privacy Policy as our services, providers, or legal obligations change.

The updated version will be posted on withlevante.com with a revised effective date. We will provide additional notice where a change materially affects how we handle personal information.

18. Contact and complaints

Levante has designated a Privacy Officer responsible for privacy compliance.

Questions, access requests, correction requests, or complaints may be sent to:
